On completion of pilot, Mobilis opts for Sensus BPM Online 

Mobilis has been building the infrastructure of the Netherlands for over 100 years. Their efforts have resulted in fantastic roads, tunnels, bridges and other infrastructure objects across this country. Mobilis is part of TBI, a group of companies that take a sustainable approach to building, maintaining and rehabilitating the Dutch living environment. On the conclusion of an extensive pilot, Mobilis opted to go with Sensus BPM Online. Among other features, Mobilis makes use of the library, a solution that guarantees uniformity when setting up projects.

 

Towards fewer manual actions

For the purpose of quality management, Mobilis needs to write out the working method for each new project. Process manager Ursula Looman explains, “Processes are subject to change: after all, we want to continuously improve. With the previous software, implementing improvements was the aspect that really proved to be labour-intensive. What’s more, our processes are strongly interconnected. So, we went looking for a package that links processes in such a way that every change is immediately visible in other processes as well.

“We contacted quality managers from the other group companies through our network. From this consultation three options emerged, of which Sensus scored the best. We decided to do a six-month pilot before making the final purchase decision.” Ursula Looman became project manager of this pilot. “We had to set out our entire programme of requirements. By chance, Sensus had just completely renewed its software, transforming from standalone to web-based in the cloud.”

 

Joint development

Mobilis and Sensus process management have gone through a joint development. Mobilis has, for example, contributed to the development of the library feature. About this Ursula Looman says, “We had selected Sensus for its library feature, but this was not available at that time in the cloud version. During the pilot, Sensus queried us extensively and, based on our responses, made proposals for the design of this feature. We could then give our feedback on these. I really like the idea that, as a customer, we are acknowledged for our part in further developing the package.”

Bernice Hofland is project management coordinator at Mobilis. Together with a fellow employee, she spent a year working on the development of Sensus BPM Online  and has been working on setting up projects for some time now. Bernice Hofland says, “What we do is fairly complex: construction projects, tender procedures, maintenance projects – we have separate processes for each of these. And then there are our own business processes regarding quarterly statements, departmental plans, HR and communications. We have built processes for several clusters, for example. The construction cluster alone has 85 processes that we have all coordinated with the process owners in our organisation.”

During the pilot, Sensus queried us extensively and, based on our responses, made proposals for the design of this feature. We could then give our feedback on these. I really like the idea that, as a customer, we are acknowledged for our part in further developing the package.

Certified System

Bernice Hofland says, “Because many projects are under contract with Dutch infrastructure agency Rijkswaterstaat, we have adopted their structures, these being Project Management, Technical Management, Stakeholder Management, Project Management and Contract Management. Besides these, we have added the ‘standards and guidelines’ feature. Our system is certified according to several ISO and other standards. If we set this up now for a project, we can immediately say that this project management system is compliant with ISO 9001.”

“Sensus lays the foundation for both our business management system and our project management system. In principle, our system is accessible to our customers and partners, with the effect that the partners we work with on projects can also see what we expect from them. After all, audits apply just as much to our partners as to us.”

 

Convenience thanks to library feature

Bernice Hofland also emphasises the convenience of the Sensus library. “This forms the basis for 90% of all our projects. This way we get consistency in the design and we don’t have to start from scratch each time. Furthermore, there is a particular sequence in our processes. For example, you cannot start carrying out the project without first having a work plan. Sensus makes that transparent. Because we now always store our data in the same way, we can more easily embed quality and demonstrate compliance faster. The questions are becoming increasingly complex and, thanks to Sensus, we can easily provide answers.”

Ultimately, Mobilis wants to use Sensus BPM Online as the go-to portal where all the necessary information and applications for end users for every project are made available.
