Audit & control

Audits go beyond controls and checklists. They show what happens in practice: how processes are carried out, which procedures work well, and where there’s room to improve.

That requires reliable information. What is the current procedure? Who is responsible? What has changed? Being able to answer those questions quickly makes audits and internal reviews much easier to manage.

Sensus BPM Online helps keep your process information accurate and up to date, giving you a reliable record of both your processes and how they are carried out in practice.

Audits reveal how your organization really works

A process description sets out how the work should be done. An audit looks at whether that matches what actually happens. Auditors therefore look beyond the documentation. They want to understand how processes are carried out, which procedures apply, and how employees work with them.

That’s when accurate, reliable information becomes especially important. Which version is current? And where can you find the information to back it up? Bringing processes, work instructions, and responsibilities together in one place makes it much easier to answer those questions.

Common challenges during an audit

The audit is coming up
Your documentation is spread across different systems and files. Where do you start looking?

The documented process doesn’t match reality
The process is documented, but is that how people actually do the work?

A process has recently changed
Have the work instructions, responsibilities, and process information all been updated to reflect the change?

Employees give different answers
Ask three colleagues the same question and you get three different answers. Which procedure are people supposed to follow?

Is your information still up to date?

Processes and work instructions change over time. Responsibilities can shift too, for example when the makeup of a team changes.

During an audit, having the information available isn’t enough. You also need to know that it’s still accurate. Outdated process information makes it difficult to show how your organization operates today.

That’s why changes need to be easy to track and process information needs to stay in step with the work itself. This gives you a reliable picture of how the work is actually carried out. Sensus BPM Online helps you keep that information up to date.

What we learned from our own ISO certification process

When Sensus process management started working toward ISO 27001 certification, we discovered something many organizations will recognize. Our processes had changed over time, but the documentation hadn’t always kept up. We also found differences in procedures and agreements that had previously gone largely unnoticed.

That experience showed us firsthand how important current process information is during audits and certification. An audit shows whether agreed procedures are being followed and can also highlight where processes could be improved further.
